Create and Manage Reviewer Groups
Reviewer Groups control which files and folders Reviewers can access within a Project. A Group can contain one Reviewer with individual access needs or several Reviewers who need the same content access.
For example, you might create a Studio Executives Group for several people who should see selected cuts, or a Group for one distributor who should see only territory-specific files.
Important: Each person must first be invited to the Project through Secure Sharing before you can add them to a Group. Creating a Group does not send an invitation.
Before you begin
Decide which files and folders the Group should see. Check whether its intended members already have full Project access or belong to another Group with broader permissions.
Reviewers with full Project access belong to the Full Access Group by default. Adding one of these Reviewers to a more limited Group does not necessarily restrict their existing access. Review their permissions before relying on the new Group to limit what they can see.
Create a Group
- Open the Project and go to Sharing > Secure Sharing.
- Open Groups and select Create Group.
- Enter a name that describes the Group’s audience or access, such as Studio Executives or Episode 1 Review.
- Select Create.
Remember, a Group can have just one member. This is useful when one Reviewer needs access to a specific set of files or folders.
QUICK TIP: Name Groups for the access they provide, even when there is only one member. That makes their purpose easier to recognize when you revisit the Project’s permissions.
Add Reviewers
- Find the Group in Secure Sharing > Groups.
- Select its Members button, or open the three-dot menu and choose Edit Members.
- Select the Reviewers to add.
- Select Save.
A Group badge appears beside the applicable Reviewers in the Secure Sharing dashboard. If someone is unavailable to select, confirm that you have first invited them to the Project through Secure Sharing.
Set file and folder access
- Find the Group in Secure Sharing > Groups.
- Select its Folders and Files count, or open the three-dot menu and choose Edit File Access.
- Select the content the Group should see.
- Check any parent folders and nested content.
- Select Save.
Important: Selecting a parent folder may give the Group access to all of its nested files and folders. Check the folder structure before saving.
Folder indicators show the level of access:
- A checkmark means the Group can access the folder and everything nested within it.
- A dash means the Group can access only some content within the folder.
Manage an Existing Group
Return to Secure Sharing > Groups whenever you need to:
- Add or remove members through Edit Members
- Change file or folder permissions using Edit File Access
Review Group access when new content is added or a Reviewer’s responsibilities change. Removing someone from a Group changes the access provided by that Group; it does not necessarily remove their other Project access. To revoke their secure invitation, manage the Reviewer separately in Secure Sharing.
If a Reviewer cannot see expected content
confirm that:
- they have accepted the invitation using the correct email address.
- they belong to the correct Group.
- the Group has access to the file or folder.
- the Project’s access window is active.
If a Reviewer can see more than expected, check for full Project access, membership in another Group, or access to a parent folder containing additional content.
