Share Files and Folders with Reviewer Groups

You can share a file or folder directly from a ScreenKey Project with an existing Reviewer Group. This is useful when a Group needs selected content rather than access to the full Project, or when you add new material that an existing Group should see.

Remember : A Group can contain one Reviewer or several. Direct sharing from a file or folder currently only works with Groups; you cannot select a standalone Reviewer from this menu.

Before You Share

Confirm that:

  • Each intended Reviewer has been invited through Secure Sharing.
  • The Reviewers have been added to the appropriate Group.
  • The Group’s members and existing permissions are correct.

Sharing a file or folder with a Group does not invite new Reviewers or create a public link.

Share a File or Folder

  1. Open the Project and find the file or folder you want to share.
  2. Open the item’s three-dot menu and select Share
  3. Choose the Group or Groups that should have access.
  4. Review your selection and save.

Group members can access the content according to their existing Project permissions, access windows, and security settings.

Important: Check what is inside a folder before sharing it. Giving a Group access to a parent folder may also give its members access to nested files and subfolders.

Manage Groups from a File or Folder

From the Share menu, you can:

  • Grant an existing Group access to the selected content
  • Remove a Group’s access
  • Review which Groups currently have access
  • Add or remove Group members
  • Update Group settings

Change or Remove Group Access

To update access to a file or folder:

  1. Open the Project.
  2. Locate the shared file or folder.
  3. Open its overflow menu.
  4. Select Share.
  5. Add or remove the applicable Groups.
  6. Review the updated permissions.
  7. Save your changes.

Removing a Group from a file or folder does not necessarily revoke its members’ overall Project access. Review the Group settings in Secure Sharing if you need to change their broader access.

Share with just one Reviewer

If one person needs access to a specific file or folder, use a Group of one:

  1. Invite the person to the Project through Secure Sharing.
  2. Create a Reviewer Group and add that person.
  3. Share the file or folder with their Group.

Check that the Reviewer does not also have full Project access or belong to another Group with broader permissions. Create and Manage Reviewer Groups explains how to set up and review Group access.

Change or remove a Group’s access

  1. Open the file or folder’s three-dot menu and select Share.
  2. Add or remove the applicable Groups.
  3. Review the updated selection and save.

Removing a Group from a file or folder does not necessarily revoke its members’ access to the Project or to content available through another permission. Review their access in Sharing > Secure Sharing if you need to restrict it further.

If a Reviewer cannot see the content

Check that the Reviewer has claimed their secure invitation with the invited email address, their access window is active, and they belong to the Group you selected. Then confirm that the correct file or folder was shared with that Group.

If they can see more than intended, check whether they have full Project access, belong to another Group with broader permissions, or can access a parent folder containing additional content.

Quick tip: When you add new content to a Project, decide which existing Groups should see it before sharing its parent folder.
