Invite Reviewers with Secure Sharing

Use Secure Sharing to invite specific people to watch, review or provide feedback on a ScreenKey Project.

Each invitation is tied to the recipient’s email address. The Reviewer must claim the invitation using a ScreenKey account with the same email address that received it.

Secure Sharing allows you to control:

  • Who can access the Project
  • Which files and folders they can view
  • How long their access remains active
  • Whether they can provide feedback
  • Whether they can download media
  • Which security settings apply to their viewing experience

Before you invite Reviewers

Confirm that:

  • You are working in the correct Organization and Project.
  • The media is ready to share
  • Project security and watermark settings are correct.
  • You know whether each Reviewer should see the full Project or only select files and folders.
  • The access window, feedback permissions, and download permissions suit the review.

Important: Basic Share gives Reviewers access to the full Project by default unless you limit their content access. Check this before sending an invitation to someone who should see only selected material.

Invite a Reviewer

  1. Open the Project and navigate to the Sharing tab.
  2. Open Secure Sharing and select Invite Reviewer.
  3. Select either Basic Share or Advanced Sharing.
  4. Enter the Reviewer's email address or upload their information.
  5. Set the access window and review their file, folder, feedback, and download permissions.
  6. Send the invitation.

Which invitation option should I use?

Option Best for
Basic Share Quickly inviting up to 10 Reviewers with straightforward access needs.
Advanced Sharing Setting more detailed access permissions or inviting Reviewers in bulk with a CSV list.

Review every email address and permission before sending, especially when inviting several people at once.

What happens after you send the invitation?

The Reviewer receives an invitation to the Project. To claim it, they:

  1. Open the invitation and select View Project.
  2. Sign in or create a ScreenKey account using the email address that received the invitation.
  3. Accept the invitation.

The Project then appears in their Review workspace. They can return to it there while their access window remains active; they do not need to find the original email each time.

Important: An invitation cannot be claimed with a different email address or transferred to another person. If the intended recipient’s email address is wrong, correct their access rather than forwarding the invitation.

Limit Reviewers to specific content with Groups

If a Reviewer should see only certain files or folders, set their content access by creating a Group before sending the invitation. Groups work for one Reviewer or many Reviewers who need the same content access.

To create a Reviewer Group with just that person in it, first invite them securely then add them to a Group and select the files or folders they should see.

When several Reviewers need the same access, they can share a Group. First invite the people securely to the Project, then add them to the Group and assign the Group access to the appropriate content.

Check existing access: Adding someone to a Group with limited permissions will not remove broader access they already have. Review their individual access and any other Group memberships when changing what they can see.

If a Reviewer Cannot Access the Project

Ask the Reviewer to confirm that:

  • They are using the same email address that received the invitation.
  • They have claimed the invitation.
  • They are looking in Review.
  • The Project’s access window has started and has not expired.

If necessary, review the Reviewer’s access and permissions from the Project’s Secure Sharing dashboard.

QUICK TIP: Use Basic Share for fast, straightforward invitations. Use Advanced Sharing when you need bulk invitations or more detailed control over access.
