How to share your project

ScreenKey gives Team Members three main ways to share a Project. The right option depends on what the recipient needs to do.

Before sharing, ask yourself:

  • Do they need to securely watch or review content?
  • Do they just need a quick link?
  • Do they need to upload media into the Project?

ScreenKey supports three sharing methods:

  • Secure Sharing
  • Share Links
  • Upload Access

Each method works differently. Choosing the right one helps you give people the access they need while keeping your Project organized and secure.

Choose the right sharing method

Sharing method Best for Use when you need to...
Secure Sharing Inviting specific Reviewers Give individual users secure, tracked access to a Project
Share Links Easy access for anyone with the link Share content with the least friction when security and individual tracking are not required
Upload Access Contributor uploads Let vendors, collaborators, or contributors add files to a Project without seeing other Project media

Secure Sharing

Secure Sharing is the most secure way to share a Project with a Reviewer.

With Secure Sharing, each invitation is created for a specific person. The invited Reviewer must claim the invitation using a ScreenKey account with the same email address the invitation was sent to.

Secure Sharing can be sent using ScreenKey’s automated email invitations. You can also turn automated invitations off and send the access link through your own email, messaging system, or distribution process.

Use Secure Sharing when access should be tied to a specific person.

Secure Sharing is best for:

  • Screeners
  • Sales review
  • Distribution review
  • Awards campaigns
  • Executive review
  • Compliance review
  • Any workflow where access should be secure, trackable, and person-specific

Secure Sharing also gives Team Members more control over each Reviewer’s access. Depending on your Project settings, you may be able to set a viewing window, limit access to specific content, allow or restrict downloads, customize watermarking, and organize Reviewers with tags.

Share Links provide the easiest way to give someone access to a Project.

A Share Link is a general access link. Anyone who has the link can use it, so Share Links are not as secure as Secure Sharing. They are best for situations where convenience and ease of access are more important than individual user-level control.

Use Share Links when you want to reduce friction and make access as simple as possible.

  • Quick access
  • Lower-risk content
  • Informal review workflows
  • Situations where individual invitations are not required
  • Sharing with people who may not have ScreenKey accounts

Because Share Links are not tied to a specific invited Reviewer, they should not be used when access needs to be restricted to named individuals.

For secure, trackable, person-specific access, use Secure Sharing instead.

Upload Access

Upload Access allows someone to contribute media to a Project.

This is different from sharing a Project for viewing. Instead of giving someone access to browse or review the Project, Upload Access allows Contributors to add media.

Contributors only have access to the media they have added to the Project. They cannot see other media in the Project unless they have also been granted separate viewing or review access.

Use Upload Access when someone needs to submit, deliver, or upload files.

Upload Access is best for:

  • Production workflows
  • Post-production collaboration
  • Vendor delivery
  • Asset collection
  • Contributor submissions
  • Internal team uploads
  • External partner uploads

Which option should I use?

If the recipient needs to... Use this sharing method
Watch or review secure screeners Secure Sharing
Access content with the least friction Share Links
Upload files into the Project without seeing other Project media Upload Access
Provide feedback on media Secure Sharing or Share Links, depending on your security needs
Submit files for review or delivery Upload Access

Best practices

Use Secure Sharing when security, accountability, and individual Reviewer tracking are important.

Use Share Links only when easy access is more important than person-specific security.

Use Upload Access when the recipient needs to contribute files to the Project but should not have access to other Project media.

Before sharing a Project, make sure:

  • Your media is uploaded and organized
  • Your security settings are correct
  • Your access permissions match the workflow
  • You are using the right sharing method for the recipient
