Upload and Organize Media

Use this guide to upload, organize and manage media within a ScreenKey Project.

The available actions depend on your ScreenKey Role and permissions. Team Members may be able to upload and organize media throughout a Project, while invited Uploaders may only upload to specific folders or areas assigned to them.

Before You Upload

Before adding media, confirm that:

  • You are working in the correct Organization.
  • You have opened the correct Project.
  • You have permission to upload media.
  • You know which folder or Gallery should contain the files.
  • Your file names follow the Project Team’s naming conventions.

If you cannot find a Project you manage, confirm that you are viewing the Organization where it was created.

Upload Media Through Your Browser

You can upload media through your browser in both Theater and Workspace Mode Projects.

  1. Navigate to Admin

    Select the Project you want to update.

    Navigate to the Assets area or the appropriate destination folder.

    Upload your files using one of the available methods:

    • Drag and drop files into the Project.
    • Right-click within the upload area and select the upload option.
    • Select + New and choose the appropriate upload option.
  2. Keep the browser page open while the upload is in progress.
  3. Wait for ScreenKey to finish processing the files.
  4. Confirm that the files appear in the correct location.

Processing may continue briefly after the initial upload finishes. Do not close the browser page until the upload and processing are complete.

Upload Media from a URL

You can migrate supported media from existing video-management or collaboration platforms, such as Frame.io, MediaSilo or CineSend.

  1. Open the appropriate Project and destination folder.
  2. Select + New.
  3. Choose Upload via URL.
  4. Enter the source URL and follow the on-screen instructions.
  5. Wait for the transfer and processing to complete.
  6. Confirm that the media appears in the expected location.

Upload Large Media Files

For larger uploads or a more reliable background-upload experience, use the ScreenKey Desktop App.

Unlike a browser upload, you can close the Desktop App window while an active upload continues in the background.

Before closing the app completely, confirm that your files have finished uploading and processing.

Organize Media with Folders

Project folders help keep media easy to find, review and share.

Media can be organized into folders that reflect your workflow, such as:

  • Dailies
  • Episodes
  • Editorial cuts
  • VFX
  • Colour
  • Sound
  • Versions
  • Marketing assets
  • Delivery packages

Folders can also be nested to create additional levels of organization.

If your permissions allow you to create folders, follow the Project Team’s existing structure and naming conventions. Common approaches include organizing media by:

  • Production department
  • Episode
  • Version
  • Workflow stage
  • Asset type
  • Delivery package

Quick tip: Repeat the existing folder structure whenever possible to keep the Project consistent and easy to navigate.

Choose Clear File and Folder Names

Consistent names make media easier to search, review and distinguish from other versions.

When naming files and folders:

  • Follow any conventions established by the Project Team.
  • Include useful identifiers such as episode, version or date when appropriate.
  • Use consistent spelling and formatting.
  • Clearly distinguish drafts, revisions and final versions.
  • Avoid vague names such as “New Version” or “Final Final.”

Understand Your Permissions

Your Role determines which media and upload controls are available to you.

  • Team Members may be able to upload, organize and manage media based on their Organization permissions.
  • Uploaders may only upload to assigned folders and may only see media they contributed.
  • Reviewers do not automatically receive permission to upload media.

If an expected folder or upload option is unavailable, contact the Project Owner or Team Member who granted your access.

If an Upload Does Not Complete

Check the following:

  • Keep the browser page open until uploading and processing finish.
  • Confirm that your internet connection is stable.
  • Verify that you still have upload access.
  • Confirm that you are uploading to a folder you have permission to use.
  • Try the ScreenKey Desktop App for large files.
  • Check that the file does not already appear in the destination folder before attempting another upload.

If the issue continues, contact the ScreenKey team at contact@screenkey.com and provide the Project name, file name and a description of what occurred.

Before You Finish

Confirm that:

  • All required files appear in the correct Project and folder.
  • Every upload has finished processing.
  • File and folder names are clear and consistent.
  • The media opens as expected.
  • The Project Team has been notified if confirmation was requested.
