How to Review and Approve Images
Use this guide if someone sent you a ScreenKey invitation and asked you to review, approve, reject, or choose images. If your goal is, “I need to look through images and approve or reject them,” you are in the right place.
In ScreenKey, image approvals usually happen inside a Media Approvals Project. ScreenKey uses Projects as the main workspace for managing, reviewing, approving, and sharing media. In an approvals workflow, the images are usually organized into Galleries.
You may be asked to approve every image in a Gallery, or you may only see images that were assigned or tagged for you.
Before you start
You will usually need:
- The invitation link that was sent to you
- The email address where you received the invitation
- A ScreenKey account, if the invitation requires sign-in
Some invitations open right away. Others require you to log in first so ScreenKey can confirm that you are the correct person.
Step 1: Open your invitation
Start by opening the ScreenKey invitation link from your email, message, or notification.
If you are already logged in to ScreenKey, the link may take you directly to the approvals Project or to a Gallery inside the Project.
If you are not logged in, ScreenKey may ask you to log in or create an account first. After you log in or create your account, ScreenKey should take you back to the Project connected to the original invitation.
Step 2: Log in or create an account if prompted
If ScreenKey asks you to log in, use the same email address where you received the invitation.
This is important because secure invitations are often tied to a specific email address. If you log in with a different email address, ScreenKey may not recognize that you have access.
If you are new to ScreenKey, follow the prompts to create an account. Once your account is created, you should be able to open the approvals Project and any Galleries assigned to you.
Step 3: Open the Gallery you need to review
After you enter the Project, you will see the Galleries available to you.
A Gallery is where a group of images is organized for review and approval. Each Gallery may have its own approval process.
Depending on how the Project Team set up access, you may see:
- One Gallery
- Multiple Galleries
- All images in a Gallery
- Only images that were assigned or tagged for you
If you expected to see a Gallery or image and it is not there, contact the person or team who invited you.
Step 4: Choose how you want to review the images
ScreenKey gives you two main ways to review images.
Picture viewer
Use the picture viewer when you want to look closely at one image at a time.
This view is helpful when you need to check details such as image quality, composition, styling, continuity, or anything else that affects your approval decision.
From the picture viewer, you may be able to:
- Approve the image
- Reject the image
- Mark the image as a favorite
- See how many rejections you have remaining, if limits apply
- Download the image, if downloads are enabled
Contact Sheet view
Use Contact Sheet view when you want to review many images quickly.
This view shows images in a grid-style layout, similar to a contact sheet. It is useful when you need to move through a large Gallery and make approval decisions faster.
From Contact Sheet view, you can approve or reject images without opening each one individually.
Step 5: Approve or reject each image
For each image, choose the decision that matches your review.
Select Approve if the image should move forward.
Select Reject if the image should not move forward.
You can change your mind while you are still reviewing. For example, you can approve an image and later change it to rejected, or reject an image and later change it back to approved.
Your decisions are not final until you submit your review.
Step 6: Mark favorites, if helpful
You may also be able to mark images as favorites.
Favorites are separate from approvals and rejections. Marking an image as a favorite does not approve it, reject it, or affect your final submission.
Use favorites when you want to identify preferred images, strong options, or images you may want to return to before submitting your review.
Step 7: Watch for rejection limits, if they apply
Some approval workflows limit how many images you can reject.
If a rejection limit applies to you, ScreenKey will show how many rejections you have remaining.
You may see this number in the picture viewer or in Contact Sheet view.
Use this count to keep track of your remaining rejections before you submit your final review.
Step 8: Download images, if downloads are enabled
Some Projects allow image downloads.
If downloads are enabled for you, you may be able to download an individual image from the image menu. You may also be able to download an entire Gallery from the Gallery menu.
Look for the ellipsis menu, which usually appears as three dots.
If you need to download images but do not see a download option, contact the Project Team. They control whether downloads are available.
Step 9: Submit your review
Your approval and rejection decisions are not final until you select Submit Review.
Before submitting, take a moment to check that:
- You reviewed the required images
- Your approved images are correct
- Your rejected images are correct
- Your favorites are marked correctly, if you used favorites
- Your remaining rejection count is acceptable, if rejection limits apply
When you are ready, select Submit Review at the bottom of the screen.
After you submit, your approval decisions are sent to the Project Team.
Changing your decisions before submitting
You can change approval decisions while you are still reviewing.
Nothing is final until you select Submit Review.
This means you can move through the Gallery, make decisions, compare images, change your mind, and then submit only when you are ready.
What you may or may not be able to do
The options you see depend on how the Project Team set up the approvals workflow.
You may be able to:
- Open assigned Galleries
- Review images one at a time
- Review images in Contact Sheet view
- Approve images
- Reject images
- Change decisions before submitting
- Mark favorites
- See remaining rejection limits
- Download images, if enabled
- Submit final approval decisions
Not everyone will see the same options. In ScreenKey, Approvers participate in Media Approval workflows by reviewing assigned media and making approval decisions. Your exact access depends on the Project settings and your approval group.
Troubleshooting access
If you cannot open the Project, Gallery, or images, check these common issues.
Are you using the right email address?
Use the same email address where you received the invitation.
Are you logged in to the correct ScreenKey account?
If you have more than one email address, you may be logged in with the wrong one.
Have you accepted the invitation?
You may need to open the invitation link or claim the invitation before the Project appears.
Were you assigned or tagged?
Some approval workflows only show images that were assigned to you or where you were tagged.
Did the Project Team change your access?
The team that invited you may have changed Gallery access, Project settings, or approval assignments.
Are downloads disabled?
If you do not see a download option, downloads may not be enabled for your access.
If you still cannot access what you need, contact the person or team who sent you the invitation.

Log in with the email address where you received the invitation. Then open the assigned Project or Gallery and review the images using the picture viewer or Contact Sheet view.
