How to Upload Media to a Project
Use this guide if someone invited you to upload videos, images, audio files, documents, or other media into ScreenKey.
In ScreenKey, a Project is the main workspace where media is managed, reviewed, approved, and shared. If someone gave you upload access, you have been invited to add media to a specific Project. ScreenKey calls this type of access Contributor access. Contributors can upload media to specific Projects and manage the content they contribute.
Before you start
You will need:
- The invitation link that was sent to you
- The email address where you received the invitation
- A ScreenKey account
- The files you need to upload
Upload access always requires sign-in. ScreenKey needs to confirm that you are the person who was invited before you can add media to a Project.
Step 1: Open your invitation
Start by opening the ScreenKey invitation from your email, message, or notification.
Because upload access requires sign-in, ScreenKey will ask you to log in or create an account if you are not already signed in.
After you log in or create your account, ScreenKey should take you to the Project where you were invited to upload media.
Step 2: Log in or create an account
Use the same email address where you received the invitation.
This is important because upload access is tied to the invited email address. If you log in with a different email address, ScreenKey may not recognize your access.
If you are new to ScreenKey, follow the prompts to create an account using the invited email address. Once your account is created, you should be able to open the Project where you were invited to upload media.
Step 3: Find the Project in My Projects
After you accept the invitation, the Project should appear in My Projects.
Use My Projects to find Projects where you can upload or contribute media.
This is different from content that was only shared with you for viewing or review. Projects shared with you for review appear in For Review. Projects where you can upload media appear in My Projects.
A simple way to remember it:
| Area | Use it for |
|---|---|
| My Projects | Projects where you can upload or contribute media |
| For Review | Projects or Screening Rooms shared with you to watch, review, approve, download, or comment on |
If you were invited to upload files, start with My Projects.
Step 4: Open the Project
Select the Project from My Projects.
Once inside the Project, you will see the areas where you are allowed to upload media.
Depending on how the Project Team set up your access, you may be able to:
- Upload anywhere in the Project
- Upload only to specific folders
- See the full Project folder structure
- See only part of the Project folder structure
- Create new folders, if allowed
- Add files to existing folders
Not everyone with upload access sees the same options. The Project Team decides where you can upload and what parts of the Project you can see.
Step 5: Go to the right folder or upload area
Before uploading, make sure you are in the correct location.
The Project Team may expect files to be uploaded into a specific folder, such as:
- Dailies
- VFX
- Sound
- Color
- Editorial
- Marketing assets
- Vendor deliverables
- A specific episode
- A specific version
- A specific delivery package
If you are not sure where your files belong, contact the person or team who invited you before uploading.
Step 6: Upload your files
Go to the folder or area where the media should be added.
Depending on your access and the Project setup, you may be able to upload by:
- Dragging and dropping files into the Project
- Using the right-click menu in the Assets area
- Selecting the + New menu in the top-right of the Assets area
After the upload begins, keep the page open until the files finish uploading and processing.
Large files may take longer to finish. Avoid closing the page, refreshing the browser, or leaving the Project before the upload is complete.
Step 7: Organize your uploads, if allowed
Some uploaders can create folders or organize files after uploading.
If folder creation is available, use it only when it matches the Project Team’s instructions. Keeping the Project organized helps the team find, review, approve, and share media more easily.
ScreenKey is designed to support workflows such as media approvals, screener review, and post-production collaboration, where teams may need to manage dailies, rough cuts, VFX, color, promotional assets, and other media in one place.
If the Project already has folders, use the existing structure whenever possible.
Step 8: Confirm your files uploaded successfully
After your upload is complete, check that the files appear in the expected location.
You should be able to see the media you uploaded.
In many cases, upload-only users can only see their own uploaded media. You may not be able to see files uploaded by other people unless the Project Team also gave you viewing or review access.
This is normal. Upload access is meant for adding media to a Project. It does not automatically give you permission to review everything else in the Project.
Step 9: Return to the Project later
After you accept your invitation, you can return to the Project from My Projects.
If you have upload access to multiple Projects, they should appear in My Projects. This helps you find the Projects where you have been invited to contribute media, even if they belong to different Organizations.
If you do not see the Project, make sure you are logged in with the same email address where you received the invitation.
Upload access vs. review access
Uploading media and reviewing media are different types of access in ScreenKey.
| Access type | Where it appears | What it is for |
|---|---|---|
| Upload access | My Projects | Uploading media into a Project |
| Review access | For Review | Watching, reviewing, approving, downloading, or commenting on shared media |
You may have upload access, review access, or both.
For example, a vendor may be invited to upload VFX shots but not view the rest of the Project. Another person may be invited only to watch a screener. Someone else may be able to both upload files and review shared media.
If you need access that you do not currently have, contact the Project Team.
Upload access always requires a signed-in ScreenKey account.
Share Links may be used for some viewing workflows, but they are not used for uploading media. If you were invited to upload files, you must sign in with the email address that received the invitation.
What you may or may not be able to do
The options you see depend on how the Project Team set up your upload access.
You may be able to:
- Upload media to a Project
- Upload media to specific folders
- Create folders, if allowed
- View the media you uploaded
- See part or all of the Project folder structure
- Manage the files you contributed
You may not be able to:
- See media uploaded by other people
- Review the full Project
- Download files
- Share the Project
- Change Project settings
- Invite other users
If an option is missing, it may not be enabled for your access.
Troubleshooting access
If you cannot open the Project or upload media, check these common issues.
Are you signed in?
Upload access requires a signed-in ScreenKey account.
Are you using the right email address?
Use the same email address where you received the upload invitation.
Are you logged in to the correct ScreenKey account?
If you have more than one email address, you may be logged in with the wrong one.
Are you looking in My Projects?
Projects where you can upload media appear in My Projects, not For Review.
Have you accepted the invitation?
You may need to open the invitation link before the Project appears in your workspace.
Has your upload access changed?
The Project Team may have changed, removed, or limited your access.
Are you trying to upload to a folder where you do not have permission?
You may only be allowed to upload to certain folders.
Did the upload finish processing?
Large files may need time to upload and process before they are fully available.
If you still cannot access the Project or upload your files, contact the person or team who invited you.
